This Agreement is between The Worstead Village Festival (Organiser) whose registered office is at 26 The Slipway, Marine Keep, Port Solent, Portsmouth, Hampshire, England PO6 4TR and the named Stallholder.
1. Booking Details
• Retail/Craft Pitch (4m x 4m, max 3m x 3m gazebo)
• Payment must be made in full at the time of booking
• Pitch changes are at the Organiser’s discretion
2. Attendance Confirmation
By signing this agreement, you confirm attendance and agree to the Terms & Conditions outlined below.
3. Event Hours
• Friday 24th July: 6:00pm–9:00pm (no trading) for the Runner’s Event
• Saturday 25th July: 10:00am–7:00pm
• Sunday 26th July: 10:00am–5:30pm
4. Application & Cancellation
• Applications are only valid through online booking via our website
• Cancellations before 25th June 2026 = refund minus £20 admin fee
• No refunds after 26th June 2026
• The Organiser reserves the right to postpone, cancel, or curtail the event. Should this occur (like in adverse weather conditions) it shall not incur liability for loss or damage, nor refund any fees and charges paid.
• A security team will be on site during the night from Thursday evening - Sunday evening but the Organiser is not responsible for unattended stock.
5. Stallholder Responsibilities
• Provide your own sanitiser
• Public Liability Insurance is required
• Only products listed in your application may be sold
• Food sellers: provide hygiene certificates and allergy info
• No drugs, tobacco, e-cigs, or unauthorised second-hand goods
• No electric and no generators are permitted on the festival site for 2026
6. Alcohol & Conduct
• Alcohol samples (max 25ml) allowed with approval
• On-site alcohol sales for consumption on site is not allowed - The Organiser wishes to promote “THINK 25”. A Public Entertainments Licence is in place for the full area where the festival takes place.
• Organiser may remove inappropriate goods or individuals
• The Stallholder must occupy the Pitch as chosen by yourselves and be ready to trade during the Event Hours on Saturday and Sunday. Friday is NOT a trading day.
• If, in the opinion of the Organisers, the Stallholder unit extends beyond the allocated Pitch, the Organisers may at its sole discretion move said unit to anywhere in the Event site, and charge the Stallholder for the extra space occupied at double the prevailing rate.
7. Setup, Vehicles & Parking
• Setup times: Friday 13:00-16:30, Saturday and Sunday 7:30–9:00
o (Saturday after 19:00 and Sunday after 17:30)
• No vehicles allowed on-site during trading hours
• Park in designated areas only (this does not include the Queen Elizabeth Hall car park). Disabled car parking is available in car park A.
8. Passes & Waste
• 2 weekend passes provided per pitch
• Lost/damaged passes require buying a replacement
• Use designated trade waste bins
9. Safety & Insurance
• Submit Public Liability Insurance and Food Hygiene certificates that will be in date for the two days of the festival as soon as possible
• NO generators and NO electric allowed on the main field
• Comply with Health & Safety and Trading Standards
10. Legal & Data
• Governed by English law
• Data used solely for event coordination (not marketing)
